How Alinea Healthcare uses employee attendance and location data within VitalProxima.

VitalProxima is an internal attendance and workforce operations system operated by Alinea Healthcare Private Limited for authorised employees, HR users, administrators, and operations teams. This notice explains what information is collected, why it is collected, who can access it, and how employees can raise correction or privacy requests.

Information we collect

  • Employee identity details such as name, employee ID, mobile number, work email, role, and department.
  • Attendance details such as check-in/check-out time, shift assignment, attendance status, and exception notes.
  • Location data captured during attendance actions, including GPS coordinates or authorised site boundary validation.
  • Device and usage details such as login time, session activity, device type, and technical logs.
  • Device identifiers: a stable device ID (Android device ID / iOS vendor identifier) used to bind each employee account to a single authorised device, and a push notification token used to deliver attendance notifications.
  • Administrative updates by authorised HR, operations, and system administrators.

How we use your information

  • To verify attendance at authorised client locations.
  • To monitor workforce availability and deployment coverage.
  • To support attendance correction, exception review, and operational reporting.
  • To generate HR, payroll-support, audit, and compliance records.
  • To support future HRMS modules such as roster, leave, and lifecycle workflows.

Location data usage

VitalProxima uses location data for attendance validation and related audit purposes. Location is captured during check-in, check-out, or attendance-related actions and is not positioned as continuous employee tracking.

Device identifiers and account security

To prevent attendance fraud (such as proxy check-ins), each employee account is bound to one authorised device using a stable device identifier. This identifier is collected at sign-in, transmitted over an encrypted connection, stored against the employee profile, and used solely for device authorisation, security, and fraud prevention. It is not shared with third parties and is removed when an administrator resets the device binding or deactivates the account.

Who can access the data

  • Employees can access their own attendance records.
  • HR and operations teams can access records needed for workforce administration.
  • Super admins can manage users, roles, locations, and attendance configuration.
  • IT administrators can access technical logs for support and security controls.

Employee rights and correction requests

  • Attendance correction requests.
  • Incorrect profile data updates.
  • Shift or location assignment issue escalation.
  • Privacy and data access questions through internal support channels.

Data retention

Attendance and audit records are retained according to Alinea Healthcare Private Limited HR, payroll, statutory, and contractual requirements.
